Connect Google Workspace or Outlook Calendar so meetings from your calendar appear in Windmill. If a 1:1 is missing, you can add it yourself. You can also start a 1:1 without a calendar event.

Which calendar events appear as 1:1s

Meetings with two participants and a title such as “1:1,” the participants’ names, or “Weekly check-in” usually appear in Windmill after your calendar syncs. Not every two-person meeting is a 1:1. Interviews, working sessions, and social events remain regular calendar meetings when their purpose is clear from the title or description. A 1:1 does not have to be between a manager and direct report. Meetings between peers or people in different departments can also appear in Windmill. Calendar events with more than two attendees are not added as 1:1s automatically. You can add one yourself and choose who the 1:1 is with.

Start a 1:1

Use Start 1:1 to begin an impromptu 1:1. No calendar event is required.

Open My 1:1s

Go to the 1:1s page.

Select Start 1:1

Open Actions, then select Start 1:1.

Choose an employee

Select the person, then click Start 1:1.

Add a 1:1 from your calendar

Add a calendar event yourself when it is missing from Windmill or includes more than two attendees.

Open My 1:1s

Go to the 1:1s page.

Select Add 1:1 from calendar

Open Actions, then select Add 1:1 from calendar.

Choose the event and participant

Select a shared calendar event. If the event has additional attendees, choose the person for this 1:1.

Choose the recurring scope

For a recurring event, select This event or This and future events, then click Add 1:1.
Choosing one participant from a larger event creates one 1:1 pair. Repeat the process if the event contains another person you also meet with individually.

Remove a 1:1

Remove a meeting when it should not appear as a 1:1 in Windmill. Its existing notes remain available in the notes archive.

Open the 1:1 pair

Go to the 1:1s page. Select the person, then find the meeting you want to remove.

Select Remove 1:1

Open the meeting’s three-dot menu and select Remove 1:1.

Choose which occurrences to remove

For a recurring event, select Only this occurrence or All occurrences, then confirm Remove 1:1.

When a calendar event changes

Windmill keeps your 1:1 list in sync when the original calendar event changes:
  • Cancelled appears when the calendar event is cancelled or removed.
  • No longer a 1:1 appears when the person you meet with is removed from the invitation or their Windmill account is archived.
Select the status next to the meeting to review why it changed. Depending on the event, you can:
  • Restore this 1:1: Add the meeting back to your 1:1 list.
  • Remove this 1:1: Remove only this occurrence.
  • Remove this and future 1:1s: Remove this occurrence and future events in the recurring series.
