Inviting team members to Windmill gives them access to the dashboard where they can view reports, manage their team, and access their own data. You must be an Admin to invite others.
Within Windmill, employees can only see data about their reports. Windmill inherits all of the permissions from the original systems. This maintains privacy across the organization.

Access levels

When inviting team members, you choose between two access levels: Admin Admins can view and manage all settings for the company, including:
  • Managing connections and integrations
  • Editing the org chart
  • Creating and configuring routines
  • Inviting and managing team members
  • Viewing all employee data across the organization

  • Editing an existing cycle
  • Viewing all cycle analytics across the org
  • Releasing reviews across the organization
Team Member have limited access based on their role:

  • Access 1-on-1 agendas and notes
  • Create routines for team members they manage (if applicable)
If a team member doesn’t manage anyone, they only have access to their own information. For more details about access levels and permissions, see Permissions and Access.

What happens after invitation

When you invite someone to Windmill:
  1. They receive an email invitation and a Slack message with a link to access Windmill
  2. They click the link and authenticate using Google, Microsoft, or Rippling SSO
  3. Their email must match the one you used to invite them
  4. Once authenticated, they can access the Windmill Dashboard based on their access level
First-time users: New users should be guided through what Windmill is and how to use it. Consider scheduling a brief intro or pointing them to this help center.
Consider rolling out Windmill in phases—start with managers and HR, then expand to the full team. This gives you time to test and refine before the broader rollout.
