Inviting members to Windmill gives them access to the Windmill Dashboard and to Windy in Slack. There is no separate Slack-only Windy access. You must be an Admin to invite others.
Within Windmill, employees can only see data about their reports. Windmill inherits all of the permissions from the original systems. This maintains privacy across the organization.

Inviting members to Windmill

If you want to invite someone to Windmill:
  1. Go to Settings > Members
  2. Click Add Employee in the top right
  3. Fill out their information:
    • First name
    • Last name
    • Email address (must match their authentication email)
    • Manager
    • Job title
  4. Choose their access level (Admin, HR Admin, Integration Manager, Data Analyst, or Member)
  5. Choose whether to send an email invite, a Slack message, or both
  6. Confirm everything looks good and invite
The email address you enter must match the email they’ll use to authenticate into Windmill (via Google, Microsoft, or Rippling SSO).

Access levels

When inviting members, you choose between five access levels: Admin, HR Admin, Integration Manager, Data Analyst, and Member (sometimes called Team Member). Managers are determined by the org chart, not by a separate access level. Admin Admins have the broadest workspace access. They manage company-wide configuration, including:
  • Managing integrations
  • Editing the org chart
  • Creating and configuring pulses
  • Inviting and managing members
  • Viewing company-wide data where Admin access applies
HR Admins manage people operations settings. They have standard Member access, plus access to:
  • Creating and managing performance review cycles
  • Managing the org chart
  • Managing members and access levels
  • Managing company-wide 1:1 templates
Integration Managers handle integrations and account administration without full Admin access. They have standard Member access, plus access to:
  • Connecting and configuring company integrations
  • Managing members and access levels
  • Managing billing
  • Managing security settings (SSO)
Data Analysts can view analytics across the whole company. They have standard Member access, plus:
  • Viewing organization-wide analytics, not just their own team
Members (Team Members) participate in Windmill features and have access based on their org chart position:
  • View their own data and feedback
  • View their direct reports’ data (if they manage anyone)
  • Access 1:1 agendas and notes
  • Create pulses for members they manage (if applicable)
If a member doesn’t manage anyone, they only have access to their own information. For more details about access levels and permissions, see Permissions and Access.

What happens after invitation

When you manually invite someone to Windmill:
  1. You choose whether they receive an email invitation, a Slack message, or both
  2. They click the link and authenticate using Google, Microsoft, or Rippling SSO
  3. Their email must match the one you used to invite them
  4. Once authenticated, they can access the Windmill Dashboard based on their access level
Adding someone as a member does not expose private documents, meetings, Slack channels, or other private source content they couldn’t already access. Windmill continues to mirror permissions from the source systems.
Provisioning via SCIM or Rippling does not send invite emails or Slack messages. When users are provisioned through SCIM or Rippling, they’re created as members in Windmill automatically, but no invitation email or Slack message is sent. You’ll need to share access details with them through your own communication channels.
First-time members: New members should be guided through what Windmill is and how to use it. Consider scheduling a brief intro or pointing them to this help center. Setting up 1:1s: 1:1s are usually pulled in automatically from calendar. If a 1:1 is missing after the employee has been added, go to the 1:1s page or the employee’s profile and add the 1:1 manually.
Consider rolling out Windmill in phases—start with managers and HR, then expand to the full team. This gives you time to test and refine before the broader rollout.

The invitation email must match their SSO authentication email. If they try to log in with a different email, they won’t have access. Update their email in the org chart to match their authentication email, then resend the invitation.
Yes, but they won’t appear in reports or team views unless they have a manager assigned. Make sure to assign a manager before inviting them so they’re properly included in Windmill’s data.
Yes. When your HRIS syncs new employees to Windmill, they appear in your org chart but aren’t automatically invited. You need to manually invite them to give them Windmill access.
No. When users are provisioned through SCIM or Rippling, they’re created as members in Windmill automatically, but Windmill does not send an invitation email or Slack message. Communicate access details to them through your own channels.
No. Archiving and removing a member mean the same thing in Windmill. Archived members lose access to the Windmill Dashboard, but their historical data is preserved.
