Windmill automatically connects with your video conferencing platforms to pull in meeting recordings and transcripts. This makes it easy to review what was discussed, catch up on missed meetings, and reference key points later—all within Windmill.

Supported platforms

Windmill currently supports recordings from:
  • Zoom - Direct integration through your connected account
  • Google Meet - Native recording and Gemini Notes
  • Roam - Transcripts and recordings
Recordings are synced hourly from all platforms. Only the transcript is captured—not the video file. When meeting metadata (like title, time, or participants) matches correctly, the transcript automatically links to the corresponding meeting in Windmill.

Zoom recordings

Windmill syncs Zoom recordings directly through your connected account. What’s synced:
  • Recordings are fetched hourly
  • Only text transcripts are stored in Windmill (no audio or video)
  • Transcripts appear in the platform within an hour after the meeting ends
Access control:
  • Zoom provides Windmill with the participant list
  • All verified attendees can access the transcript
  • For 1-on-1s, transcripts appear automatically in the meeting notes section once processed

Google Meet recordings

Windmill supports recordings from both native Google Meet recording and Gemini Notes. Supported methods:
  • Native recording - Available in eligible Workspace editions via Activities → Recording
  • Gemini Notes - Uses Google’s AI assistant to capture transcripts and summaries
When configuring recording options in Google Meet, “Also start a transcript” or “Also start transcription” must be enabled for Windmill to receive the transcript. This applies to both native recording and Gemini Notes.
What’s synced:
  • Windmill syncs transcripts hourly (no video or audio stored)
  • Transcripts attach automatically to meetings when metadata matches
  • Access follows the same participant-based permissions as other platforms
Depending on your Workspace plan and admin settings, you may see only one of these recording options in Meet.

Roam recordings

Recordings and transcripts from Roam sync to Windmill on the same hourly cycle as other platforms. What’s synced:
  • Only text transcripts are imported
  • Transcripts automatically link to meetings when metadata aligns
  • Access is limited to verified participants

Access and permissions

Windmill respects the access controls of each connected platform. How it works:
  • Each integration (Zoom, Google Meet, Roam) shares attendee data with Windmill to determine access
  • The same participant-based model applies consistently across all platforms
  • Managers with subtree visibility can view transcripts without having attended the meeting if they have access to the meeting in the underlying platform.
    • E.g. if Person A can view a meeting between two people in Roam, Person A can also view it in Windmill

Accessing meeting transcripts

You can access transcripts in two ways: Within 1-on-1s If the meeting is a 1-on-1, the transcript appears automatically in the meeting interface once available. Through Windy in Slack For other meetings, use Windy in Slack to search and access transcripts:
  • Ask Windy about any recorded meeting (e.g., “Show me my last meeting with Jordan”)
  • Ask Windy to catch you up on previous conversations or action items from recent recorded 1:1s
There’s typically a one-hour delay after a meeting ends before its transcript appears—in both the 1-on-1 interface and Windy.

Sync timing

All meeting transcripts sync hourly from connected platforms. This means:
  • Meetings recorded at 10:00 AM may not appear in Windmill until 11:00 AM
  • The sync happens automatically in the background
  • You don’t need to manually trigger syncs
