The billing page is where Admins, HR Admins, and Integration Managers manage payment details, view invoices, and track seat usage over time. See Permissions and access for details on who has access. To open it, head to Settings → Billing.

Manage billing in Stripe

Windmill uses Stripe to handle payments. Click Billing portal at the top of the page to open the Stripe-hosted customer portal in a new tab. From the billing portal, you can:
  • Update your default payment method
  • Edit your billing address, business name, and tax ID
  • Download tax receipts
  • Cancel your subscription
Changes you make in Stripe sync back to Windmill automatically. You don’t need to notify us when you update your card or billing details.

Subscription alerts

If your subscription needs attention — for example, a failed payment or an upcoming cancellation — Windmill shows a banner at the top of the billing page with a direct link to the billing portal. Resolve issues there to avoid any interruption in service.

Invoices

The Invoices card lists every invoice Windmill has issued to your account, including the date, invoice number, amount, status, and a short description. Use the date range picker in the top right to filter to last 7 days, last 30 days, last 90 days, last year, or a custom range. For each invoice, you can:
  • Click the invoice number to open the hosted Stripe invoice in a new tab
  • Click the download icon to download the invoice PDF
Invoice statuses include:
  • Paid — payment succeeded
  • Open — invoice issued but not yet paid
  • Void or Uncollectible — invoice was canceled or written off

Members over time

The Members over time chart tracks your provisioned seat count over the last 90 days. In the billing UI, an active member is a provisioned member who has not been archived. It does not mean someone who recently logged in or used Windmill. Toggle between Daily, Weekly, and Monthly views using the buttons in the top right. Click any point on the chart to open a dialog listing the provisioned, unarchived members included in the seat count on that date, including each person’s name, username, and the date they were added to Windmill.

FAQs

Admins, HR Admins, and Integration Managers can view and manage billing settings. If Billing does not appear in your settings, ask a member with one of these roles or contact support@gowindmill.com.
Click Billing portal on the billing page and update your payment method directly in Stripe. The change applies to your next invoice automatically.
Open the billing portal and cancel from there. Your account stays active through the end of the current billing period. We’re sorry to see you go — if there’s anything we can do to help, reach out to support@gowindmill.com first.
Your recurring invoice is based on the provisioned seat count at the start of the billing period. Seats added mid-cycle generate a separate prorated charge after the next nightly billing sync. Archiving members does not generate a mid-cycle refund; the lower seat count applies to your next recurring invoice. See Pricing for details.
Yes. Click the invoice number in the Invoices card to open the hosted Stripe invoice, or use the download icon to grab the PDF.
