Use folders to organize your library. Share a top-level folder to choose who can see what’s inside.

Organizing knowledge

  • Create folder: click Create folder in the toolbar.
  • Move: drag a document into a folder, or use Move to….
  • Rename: use Rename. Linked documents take their title from the source, so rename them there.
  • Delete: use Delete. For a linked document, use Remove. The original stays in the source.
You can rename and delete folders, but you can’t move a folder into another folder. To reorganize, move the documents instead.

Sharing and access

You set access on top-level folders. Everything inside a top-level folder, including its subfolders and documents, gets the same access. You can’t share a single document or subfolder. To change who can see a folder, use Share on the top-level folder. The Access column shows who can see each item:
  • Everyone: everyone at your company
  • A summary like Managers · 2 groups · 1 person: specific roles, groups, people, or a manager’s reporting line
  • Admins and HR Admins: no one else
Linked documents work the same way. They get the access of their folder, not their sharing in Google Drive or Notion. See Who can see a linked document.
