Request timing

An approved nomination can receive a feedback request once feedback is open and at least 15 minutes have passed since approval. Each nomination gets its own feedback chat. You do not need to finalize a nomination list. If the nomination and feedback windows overlap, requests can start before the nomination deadline.

Handle delayed or unanswered requests

Use the peer feedback stage’s work table to check each request’s progress. A cycle admin can select one or more incomplete requests and send a nudge. Windmill skips completed work and work without an active chat. You can send only one manual nudge to the same employee in a 15-minute period.

Handle declined requests

Reviewers can start an approved request without accepting it first. They can also decline it and give an optional reason. The reviewee sees Declined, but cannot see the reason. The reviewer, managers with access, and cycle admins can see it. A declined request does not get a replacement automatically. Someone allowed to create nominations must add another reviewer.

Handle high reviewer workload

The nomination table’s approval warning shows how many approved reviewers a reviewee has and how much approved work the selected reviewer has. The Reviewer workload setting controls how many reviewees can nominate the same person before cycle-admin approval is needed. Exceeding the limit requires approval, but does not block the nomination. To move work to someone else, cancel or revoke the old nomination and add a new one. See nomination changes and exceptions for the rules that apply to each role.
