Review before submission

A facilitator selects Review and submit to open the Submit calibration steps. The first step, Review pending changes, lets the facilitator review pending rating changes and unresolved comments, then resolve comments or leave them open. A calibration can be submitted without changes or comments. If changes exist, choose one option under Rating changes for all of them: Apply changes immediately or Send as recommendations. Under Unresolved comments, choose Keep comments private or Share comments with managers. Windmill compares proposed changes with current manager answers at submission and removes changes that are no longer different.

Submit the calibration

Only a facilitator can submit an active calibration, and the cycle must still allow changes.
  • Apply changes immediately: Updates manager answers immediately and keeps their current lock state.
  • Send as recommendations: Keeps answers unchanged until the assigned reviewing manager accepts each change. Managers above that reviewer can read recommendations but cannot approve or reject them.
  • Share comments with managers: Gives the reviewing manager and managers above them access to unresolved comments.
Recommendations and shared unresolved comments unlock only the manager reviews they affect. Submission makes the calibration completed and read-only.

What managers and reviewees see

Completed calibrations cannot be reopened or edited. Participants can still read them.

Approve or reject recommendations

The email link opens the manager review. The review has a Calibration tab with a count of items that need attention.

Open the Calibration tab

On the manager review, select Calibration. The panel lists items under Needs attention and Completed.

Decide each recommendation

Each Recommended change card shows the current and recommended rating. Select Approve to update the answer or Reject to keep it.

Resolve shared comments

Shared comments appear as Comment from calibration cards in the same tab. The question also shows a Needs attention marker. Resolve each comment after you act on it.
Only the assigned reviewing manager can approve or reject a recommendation. Managers above them can read it. A manager who gets only shared comments, without rating changes, does not get an email. Tell them to check the Calibration tab on their manager reviews.

Reviewees

Reviewees do not get a notification, and they cannot see the calibration, its comments, or its changes. They see the manager review only after it is shared. Share results after managers finish their calibration follow-up.

Export results or start another calibration

Cycle admins can export manager-review results as CSV files, PDF packets, or both. Both formats show separate manager and calibrated rating values for applied or accepted calibration results. A facilitator from the original calibration or a cycle admin can duplicate it while the cycle allows changes. The new calibration copies its description, active participants, reviewees, and question settings. The duplicate starts a new pre-read. It does not copy comments, rating changes, History, or the old report.
