When review work starts

Windmill starts assigned work when a stage opens.
  • Self and upward reviews: Windy opens a conversation with each assigned reviewer.
  • Peer nominations: Windy contacts each reviewee who can nominate peers.
  • Peer reviews: Windy contacts each approved peer when peer feedback starts.
  • Manager reviews: Windy groups a manager’s work and links them to their cycle review list.
About 24 hours before a stage starts, cycle admins receive a Review stage starts soon email. If a cycle admin adds or reassigns work after a stage starts, the new work goes out immediately. The previous reviewer’s task stops being active.

Use deadlines and reminders

Set a deadline for each stage. Windy sends automatic reminders only for stages that have a deadline.
A stage deadline is optional. It is a soft deadline, so reviewers can still submit after it while the cycle is active. When a stage has a deadline, Windy automatically reminds each person who has incomplete work. You do not need to send these reminders yourself:
  • When: One reminder during the day before the deadline, at least one hour after the review chat opened.
  • Who: People with incomplete self, upward, peer nomination, peer feedback, or manager review work.
  • When reminders stop: After the work is submitted, or when its chat or review session is no longer active.
A cycle admin can also send a manual nudge at any time, for example after the deadline passes.

Use the deadline digest

The Deadline digest is off by default. A cycle admin can turn it on during setup or later in the cycle settings. When it is on, Windmill sends one email at 9 AM in each employee’s time zone on weekdays. The email includes incomplete work that is overdue or due within 48 hours. It can also include a manager review with a recommended change from calibration. Overdue work stays in later weekday emails until it is complete or no longer active. You cannot change the digest time, schedule, or message.

Use Slack and Windmill

Windy review conversations can run in Slack and link to the saved work in Windmill. People can draft self, upward, peer nomination, and peer feedback answers with Windy, then finish them in Windmill. Managers complete manager reviews in Windmill. Their Windy conversation links to the manager review list. Cycle settings do not include custom opening messages or a way to pause messages for one participant.
