Benefits of connecting Roam to Windmill

Connecting Roam to Windmill gives your 1:1s, recaps, and performance reviews context from recorded meetings. Windmill syncs:
  • Meeting metadata — the meeting title, time, and participants
  • Meeting transcripts — text from a recorded Roam meeting
  • Roam users — user records that Windmill maps to employees
When a meeting matches a 1:1, its recording can appear on that 1:1 page. The transcript can also provide context for recaps, performance reviews, and Windy.

Connected data

Windmill syncs the following from Roam: What is not synced:
  • Audio or video — Windmill stores transcripts only; raw recordings stay in Roam.
  • Chats or direct messages — the integration does not sync Roam chat content.
  • Presence or room activity — the integration does not sync presence, rituals, lounge activity, or shared-room sessions.

Permissions

To enable the integration, the connecting user must be:
  • A Roam Workspace Admin, and
  • Have access to the Organization Admin Dashboard
The integration is read-only and uses a secure OAuth token. Windmill never accesses or stores call audio or video — only the transcript text.

How this improves performance reviews

Windmill can use meeting transcripts as source context in 1:1s, recaps, and performance reviews. The transcript can show decisions, project updates, questions, and support that occurred in the meeting.

Managing org changes

Make Roam user and workspace-membership changes in Roam. Windmill updates its Roam user records during scheduled syncs.
