When connected, Windmill syncs meeting metadata and transcripts — never raw audio or video:
Windmill stores text transcripts and generated summaries and action items, but never raw audio or video files. The company-wide Zoom integration uses Zoom events and hourly syncs. Content appears after Zoom and Windmill finish processing. Processing time varies.

Access to imported content

Windmill grants access through matched meeting participants and its own access rules. Zoom sharing permissions do not carry over to Windmill. Content appears on a 1:1 when Windmill finds a match. The personal Zoom: My Notes integration is separate. Imported My Notes content is visible only to its owner. It uses events that Zoom sends when notes are generated and a daily sync.

Permissions

Windmill requests read-only, scoped access via Zoom OAuth. Here are the exact scopes we request and why:
All scopes are read-only. Windmill never sends messages, changes settings, or alters meetings. You control which users and data are included.
Windmill follows least-privilege access — only syncing the data required for performance context.

Installation

Log into Windmill and go to Integrations

Navigate to Settings → Integrations in the Windmill Dashboard.

Browse integrations

Select Browse integrations from the integrations page.

Click on Zoom

Find Zoom in the list of available integrations.

Select Connect

You’ll be redirected to Zoom to authorize the connection. Review the requested permissions and approve.
Reconnection can be required if authorization expires or access is removed. Disconnecting the integration stops future imports. Work already in progress can finish.
