Reports are how Windmill delivers insights back to you. Every time a routine runs, Windy generates a report that collects all the responses in one place—neatly organized, footnoted, and easy to scan. Whether it’s your recap from the past week, blockers that need your attention, or feedback from a team offsite, reports help you stay on top of what’s happening across your team without chasing down information.

What reports include

Each report is tied to one or more routines and includes the responses Windy collected. Reports are structured to help you quickly:

See participation

View who responded and who didn’t. This helps you identify engagement patterns and follow up with team members who missed the routine.

Spot patterns

Identify common themes or recurring issues across responses. Windy highlights trends so you don’t have to read every response individually.

Drill down

See individual responses grouped by person or topic. Click into details when you need full context or want to understand specific feedback.

Take action

Use insights to follow up, adjust plans, or coach your team. Reports are designed to be actionable, not just informational. Reports are short and digestible but rich—giving you just enough context to understand the signal without the noise.

Using reports

Automatic report generation

Reports are automatically generated when routines complete: Recaps Generated after the recap window closes (typically weekly). Shows all activities, accomplishments, and collaboration data for your team. Pulse Surveys Generated when the survey expires. Shows participation rates and all responses (public or aggregated for anonymous surveys). 1-on-1s Generated after each 1-on-1 conversation between Windy and a team member. Includes talking points, action items, and notes. Continuous Feedback Generated continuously as feedback is submitted. You can view all feedback in real-time or wait for scheduled summaries. Shoutouts Aggregated in weekly or monthly reports showing recognition patterns across your team. You’ll receive an email notification when a new report is ready, and you can always view reports in the Windmill Dashboard under Reports.

Viewing reports

To view reports:
  1. Go to Reports in the Windmill Dashboard
  2. You’ll see a list of all reports organized by date
  3. Click any report to view details
  4. Use filters to find specific report types or date ranges
What you can see:
  • Admins can view all reports across the organization
  • Managers can view reports for their direct reports and teams
  • Individual contributors can view reports that include their own data
Reports respect the same permissions as the rest of Windmill—you only see data for people you manage or your own information.

Custom reports

In addition to automatic reports, you can generate custom reports on demand:
  1. Go to Reports in the Windmill Dashboard
  2. Click Generate Report
  3. Choose Custom Report
  4. Type what you’re looking for in the text box (e.g., “Show me all feedback about our product launch”)
  5. Windy generates a new report instantly
Custom reports pull from all available data—routines, activities, feedback, and integrations—to answer your specific question. Use cases for custom reports:
  • “What blockers has my team mentioned in the last month?”
  • “Show me all positive feedback for Sarah from the past quarter”
  • “What are the common themes in our recent pulse surveys?”
  • “Which team members haven’t completed a recap in 3 weeks?”
Custom reports help you dig into specific questions without waiting for scheduled routines to run.

Report structure

Reports follow a consistent structure to make them easy to scan:
