# Grid regions

> Label and color areas of the calibration grid so the committee shares the same language.

Grid regions let a facilitator name areas of the Grid view, such as **Top talent** or **Needs support**. Each region has a label, a color, and an optional description. Everyone in the calibration sees the same regions, so the committee can talk about groups of reviewees instead of individual cells.

Regions are labels only. Adding, moving, or removing a region doesn't change any rating.

## How regions work

* **Each pair of axes has its own regions.** Regions you add for two dimensions appear whenever the Grid shows those dimensions, in either direction. If you swap the axes, the regions turn with them. A different pair of dimensions starts with no regions.
* **Regions can't overlap.** Each reviewee falls in at most one region.
* **Each pair of axes can have up to 50 regions.**
* **A region's label appears in its top-left cell.** The legend above the Grid lists every region. Hover over a region's label on the Grid or in the legend to read its description.

## Add a region

Only a facilitator can add, edit, or remove regions, and only while the calibration is active. There are three ways to start a region. Each one opens the region editor with the new region ready to name.

### Draw a region on the Grid

Drag across empty space on the Grid to outline the area you want. A dashed outline shows the selection as you drag.

* On a dimension with answer options, the selection covers every option between where you start and where you stop.
* On a numeric dimension, such as an integration statistic, the selection expands to the gridlines around it.

When the outline says **Release to add a region**, let go to open the editor. If the outline turns red and says **Overlaps**, followed by a region's name, the selection covers an existing region. Releasing there doesn't start a region. Press **Escape** to cancel a drag.

### Use the Add region button

Select **Add region** next to the legend above the Grid. When the window is too narrow for every Grid control, the controls collapse into **Grid settings**. **Add region** is in that menu too.

### Right-click the Grid

Right-click an empty part of the Grid and select **Add region here**. The new region starts on the spot you clicked.

* On a dimension with answer options, the region starts on the option you clicked.
* On a numeric dimension, the region starts on the band between the gridlines around the point you clicked. It stops short of nearby regions so it doesn't overlap them.

If **No room for a new region here** appears, regions already cover that spot.

## Fill in the region

<Steps>
  <Step title="Name the region">
    Enter a label of up to 60 characters. You can also add a description of up to 280 characters to explain what the region means.
  </Step>

  <Step title="Choose a color">
    Select the color square next to the label. Each new region starts with a color that isn't in use yet. The region's range sliders use the same color, so you can tell regions apart in the editor.
  </Step>

  <Step title="Adjust the range on each axis">
    Drag the two handles on each axis to change where the region starts and ends. For numeric dimensions, you can also type the start and end values.
  </Step>

  <Step title="Select Save regions">
    Everyone in the calibration sees the change.
  </Step>
</Steps>

Select **Add region** in the editor to add more than one region at a time.

## Show only the reviewees in a region

Anyone in the calibration can narrow the Grid to one region.

<Steps>
  <Step title="Select the region in the legend">
    A menu opens.
  </Step>

  <Step title="Select Show only reviewees in this region">
    The Grid hides everyone outside the region, and the region is highlighted in the legend.
  </Step>

  <Step title="Select Show all reviewees to clear the filter">
    The button appears next to the legend while the filter is on.
  </Step>
</Steps>

The region filter works alongside search and the other filters. It applies to the Grid view only, not Table. Reviewees without a rating on either axis are outside every region.

Changing an axis or restoring the default axes clears the region filter.

## Edit or remove a region

To edit a region, right-click it on the Grid and select **Edit**, followed by the region's name. The editor opens on that region. You can also select a region in the legend, then select **Edit regions**.

To remove a region, select the trash icon next to its label, then select **Save regions**.

Saving updates every region for the pair of axes at once. History records the change as **updated the grid regions**.

## Who can see and change regions

* **Facilitators** can add, edit, and remove regions while the calibration is active.
* **Committee members** can see regions and their descriptions, and show only the reviewees in a region. They can't change regions.
* **After submission**, regions stay on the Grid but can't be changed.

When a calibration is duplicated, its regions are copied too. See [Roles and access](/features/calibrations/roles-and-access) for everything else each role can do.

## FAQs

<AccordionGroup>
  <Accordion title="Why did my regions disappear when I changed an axis?">
    Each pair of axes has its own regions. Switch back to the original two dimensions to see them again. Swapping the horizontal and vertical axes keeps the same regions.
  </Accordion>

  <Accordion title="Why can't I save my regions?">
    Hover over **Save regions** to see the reason. Each region needs a label and a range on both axes. A range must start below where it ends, and regions can't overlap. If two regions overlap, the error message names both of them.
  </Accordion>

  <Accordion title="Why can't I draw a region where I want it?">
    The area you selected covers part of an existing region, so the outline turns red. Draw a smaller area, or edit the existing region to make room. You also can't start a drag on a reviewee, and drawing is off while you're moving a reviewee.
  </Accordion>

  <Accordion title="What does "Someone else changed these regions" mean?">
    Another facilitator saved changes to these regions after you opened the editor. Select **Reload regions** to see their changes, then make your edits again. Reloading discards your unsaved edits.
  </Accordion>

  <Accordion title="Why does a region say an option no longer exists?">
    A question option that the region used was removed. Choose a new range for that axis, then save.
  </Accordion>

  <Accordion title="Why is Add region disabled?">
    The pair of axes already has 50 regions. Remove a region to add another. Hover over **Add region** to see this reason.
  </Accordion>

  <Accordion title="Can I filter the Table view by region?">
    No. The region filter applies to the Grid view only.
  </Accordion>

  <Accordion title="Do regions affect ratings or what managers see?">
    No. Regions only label the Grid for calibration participants. They don't change ratings, and they aren't sent to managers or reviewees.
